Job Description

  • Maintain a constant and regular schedule that shall include opening the PAL office each morning at 8:30 a.m. and staffing the office Monday through Friday until 5 p.m., including a 30-minute lunch break as arranged with the Executive Director (hours may be flexible based on program needs). The workweek will be 40 hours, with peak periods requiring some evening and/or weekend hours, which shall be negotiated as needed.

  • Answer all phones, greet walk-ins, be available to assist in the building when asked by the Executive Director, and handle all clerical responsibilities including, but not limited to, word processing, email and Internet activities, copying and related tasks.

  • Must have proficient computer skills and the ability to work with all accepted office software including, but not limited to all Social Media Platforms, Word, Excel, Power Point, and Outlook, with the expectation of learning other software packages, including, but not limited to, QuickBooks, Kidtrax and Publisher. Working knowledge and maintain organization website and social media outlets

  • Develop and maintain a working database of all PAL participants, school contacts, community leaders, elected officials, board members, volunteers, sponsors, holiday lights program and website. Shall prepare mailings and other contact information when appropriate.

  • Keep an accurate and current calendar of all PAL events including, but not limited to, afterschool activities, field trips, special events, board meetings, and community functions that have PAL involvement.

  • Open and distribute all mail and ensure that all correspondence is handled promptly and efficiently.

  • Assist the Executive Director with the writing, implementation, record keeping and monitoring of all

    grants and administrative functions.

  • Assist the Executive Director with the monitoring of all other financial contributions to PAL and participate in specific assigned tasks related to fundraising and donations.

  • Assist with the recruitment and training of volunteers.

  • Work with the Executive Director, treasurer and appropriate board committee to ensure that all PAL reimbursements and financial obligations to vendors, specialists and contractors are promptly paid.

  • Inventory, order and distribute all supplies.

  • Work with the Office Manager and appropriate board committees to update Albany Pal literature.

  • Prepare and collect all materials for and when requested attend PAL board meetings.

  • Attend board committee meetings at the request of the Executive Director or Board Chairperson. Record and maintain all committee minutes.

  • Assist the Executive Director when requested and work with other officers and board members at the request of the Executive Director.

  • Shall report to the Executive Director and may be assigned related PAL tasks at locations away from the PAL administrative location.

  • Participate as a non-voting member of the Albany PAL, Program and Development Committees. Proposed Compensation Package
    Projected salary range: $35,360.00 $ 42,640.00

    Paid Time off (PTO) includes vacation, personal and sick time. The employee shall be entitled to fourteen (14) days PTO per calendar year after twelve months of employment. Nineteen (19) after thirty- six (36) months of employment, twenty-four (24) after sixty (60) months, of employment and twenty- nine (29) after 120 months of employment and forward. Pre-planned PTO of 3 days or more shall be scheduled by the Employee with the Employer. Employee may carry over up to six (6) days of unused PTO into the new calendar year. Employee may bank up to 5 days annually (for a maximum of 60 days) and receive compensation upon separation from the organization for said Bank Time.

    On the first day of the third month of Full Time Permanent Employment, this position shall be entitled to an individual/single health benefits package for which the employee shall contribute 20% of the total cost. Employee shall be responsible for all additional charges in excess of single benefits. In-lieu of health benefits a payment of $1,800.00 will be paid in two $900.00 increments annually at the end of 9 months and then again at each 6-month interval, prorated to the fiscal year.

    This position shall be entitled to participate in a Simple IRA Retirement Plan. Among other rules and limitations, the employer shall contribute a dollar-for-dollar match limited to 3% of eligible employee compensation. Eligibility begins on employee’s first year anniversary.
